The Account Engagement Audit Checklist Every Marketing Team Needs

Audit before you rebuild

Every messy Marketing Cloud Account Engagement (Pardot) instance produces the same instinct: burn it down and rebuild. Resist it — at least until you know what's actually broken. An audit turns "everything feels wrong" into a ranked fix list, and half the time the scary problems turn out to be three settings and a cleanup weekend. Here are the 12 areas most teams overlook, in the order we check them.

The foundation (check these first)

1. The Salesforce connector. Open the sync error queue. Its size and error patterns tell you more about instance health than any other single screen — the full error taxonomy is here. Also verify the connector user's permissions and when someone last actually looked.

2. Tracking coverage. Is the tracking code on every page of the website, or just the landing pages? Partial coverage quietly corrupts scoring and attribution downstream.

3. Authentication and sending domains. SPF, DKIM, DMARC verified; custom tracker domain configured. If any of these fail, stop auditing and fix them — nothing else matters while email lands in spam (the deliverability guide covers the fixes).

The data layer

4. Database hygiene. What share of mailable prospects has engaged in the last 12 months? A database that's 60% dormant inflates costs and poisons sender reputation. Check for a sunset policy; you probably won't find one.

5. Field sprawl. Inventory custom prospect fields: used, unused, unknown. Check picklist values against their Salesforce twins — drifted values are silent sync-breakers.

6. Duplicates. Same email on multiple Salesforce records confuses the connector's matching and splits engagement history across ghosts.

The automation layer

7. Automation inventory. Every automation rule, dynamic list, and completion action: does anyone know what it does and whether it still should? The "nobody knows" pile is your risk register. Look especially for rules that fight each other — score up here, score down there.

8. Scoring and grading. When was the model last reviewed against actual closed-won behavior? Does sales know what the MQL threshold is — and agree with it? A scoring model without a sales agreement is decoration (rebuild guide here).

9. Engagement Studio programs. How many are running, how many are abandoned mid-flight with prospects stuck on a wait step, and do any still send content from two rebrands ago? Check exit conditions especially — programs without them accumulate prisoners.

The conversion layer

10. Forms and form handlers. Full inventory: orphaned handlers still receiving posts, forms with no completion actions, thank-you pages with dead links, and required-field choices that fight your grading model (forms vs. handlers guide).

11. Campaign structure and attribution. Naming conventions, campaign membership automation, and whether Salesforce campaign influence actually receives what Pardot knows. If marketing and sales reports disagree, the root cause lives here or in item 1.

12. Access and ownership. Who has admin rights, are any of them former employees or former agencies, and is there a named owner for the instance? "Everyone and no one" is the most common answer and the root cause of items 4 through 11.

Scoring your audit

Rate each area red/yellow/green. The typical neglected instance lands 3–4 red, 5–6 yellow — and here's the encouraging part: reds cluster in foundation and data, which are cleanup work, not rebuild work. A true rebuild is only justified when automation architecture itself is unsalvageable, which is rarer than frustrated teams believe.
